Email Crystal Reports Automatically using Office 365 and Logicity

One of the most popular features of Logicity is the ability to schedule Crystal Reports and then automatically email them to other people.  With the continual migration of enterprise services from the data center to the cloud, it make sense that we are being asked how well Logicity can handle this change.

One of our users is currently migrating their e-mail from Exchange Server to Office365.  Their ERP system needs to have Crystal Reports email automation, automatically sending reports via email throughout the day.  Logicity performed "extremely well via Exchange Server".  However, they recognized that Office 365 requires that emails be sent with Transport Layer Security.  According to Microsoft,

"Customer access to services provided over the Internet originates from users’ Internet-enabled locations and ends at a Microsoft data center. These connections are encrypted using industry-standard transport layer security (TLS)/ SSL. The use of TLS/SSL establishes a highly secure client-to-server connection to help provide data confidentiality and integrity between the desktop and the data center."

Does Logicity provide the ability to schedule and email Crystal Reports through Office 365?

Yes!  In fact, SaberLogic uses Office 365 for our corporate email and we have dozens and dozens of scheduled reports that run and email out every single day.

Take a look at this screen shot to see some of the Logicity Solution Builder settings that you may want to be aware of when setting up a Crystal Report to work with Office 365.  On the 'Action' tab, you will want to set...

  • Action:  Set to "E-mail"
  • SMTP Server: The SMTP server setting will probably vary based on where Microsoft has you hosted. For example, our server is set to ‘pod51019.outlook.com’.
  • Port:  Enter the appropriate port number
  • Authentication:  Check the check box
  • Use SSL:  Check the check box
  • User name:  This will need to be the full e-mail address, including your full domain name.

Enter your password to authenticate and then simply complete the rest of the information needed to complete the email action in Logicity Solution Builder.  Include the "From Address" (multiples separated by comma), "To", "CC" and "BCC", a subject line, file name, an email body message, and an attachment format.  Logicity Professional users can also encrypt the attachment.  Finish editing the solution and save.
